Summary of what we do with your information
Yorkshire Dales Cross Country Ski Club (“The Club”) uses your personal data to manage and administer your involvement with the club, and to keep in contact with you for these purposes. You can withdraw your consent and ask for your details to be removed at any time by contacting the Club Secretary (firstname.lastname@example.org).
Your full details are held by our Membership Secretary, the Club Secretary and the Chair.
The Club Secretary will add your email address to the Club’s circulation list. This is used to update members with club news; sent bcc, your email address will not be visible to others.
We pass on required details to Snowsport England to ensure that you are covered under their insurance policy for all ski-related activities.
The Membership Secretary will pass on relevant and restricted information to the Instructors; who will each hold these details for managing club sessions and, if applicable, your progress through the SE Proficiency Awards. Relevant and restricted information will include the sharing of any relevant health related (e.g. any allergies or relevant conditions) and/or other personal information (e.g. shoe size) that is required to ensure the safe delivery of, or safe participation in, skiing-related activities.
How long do we keep your data?
YDCCSC will retain your data for as long as you are an active member of the club, or are in contact with the club, and up to 2 years thereafter; your details will then be deleted.
Members will receive key communications on a regular basis; a renewal invitation will be emailed in late August, with reminders sent up to 3 months thereafter. For any member not renewing there will be no further regular contact, but their minimum contact details will be kept for up to 2 years post final reminder for club marketing purposes only.
For those who have been in contact with the club, but not become a member (e.g. participated in a taster), their minimum contact details will be kept for up to 2 years for club marketing purposes.
Where we process personal data for direct marketing purposes (e.g. information about a club open day), you can ask for us to stop doing this at any time by contacting email@example.com. Your details will then be removed.
We sometimes take photographs at club events or coaching sessions. With your permission, these may be used on the club website, the newsletter, on social media or in the local press to publicise the club or to share details of events. Names will never be published with the images.
Please indicate on the registration/renewal form your permission for use of photographs and the processing of your data. You can withdraw your permission at any time by contacting firstname.lastname@example.org.
